Job Description:
Administrative Assistant

The Administrative Assistant is responsible to the Executive Director.

Qualifications:

  • Committed Christian
  • Strong commitment to excellence and organizational skills
  • Four years' experience in administrative/secretarial skills or office management
  • Fundamental computer skills including Microsoft Office (Word, Excel, etc.)
  • Good communication and people skills
  • Ability to maintain confidentiality
  • Good spiritual, physical and emotional health
  • Active in local church

Desired or helpful skills:

  • Project management
  • Managing others (volunteers) and delegation
  • Working knowledge of PowerPoint and Access
  • Working knowledge of QuickBooks and/or book-keeping
  • Working knowledge of computers, internet, and computer networks
  • Working knowledge of the bulk mailing process

Responsibilities:

1. Provide word processing, computer and typing support services to the ministry;
2. Provide general clerical services to the staff;
3. Maintain central filing system for administrative offices;
4. Order and maintain adequate office supplies;
5. Maintain office equipment;
6. Supervise and run administrative offices;
7. Maintain and update database of constituents;
8. Receive and record all donations;
9. Make bank deposits and send receipts;
10. Maintain financial bookkeeping using QuickBooks to enter all deposits and expenses and prepare financial reports;
11. Supervise bulk mailings;
12. Receive and deposit monies into savings account for clients;
13. Work with the public to provide program and general information;
14. Arrange and manage ministry speaking opportunities (time, content, location, etc);
15. Maintain and coordinate the Ruth Harbor display;
16. Communicate website updates to webmaster;
17. Proofread and edit newsletter;
18. Oversee volunteers/utilize for office and organization;
19. Maintain client records and files in efficient and confidential manner; and
20. Work-related errands.
